How this website handles the information you send us. It covers eklinika.sofloware.com only, not the eKlinika application.

Who is responsible
The controller for personal data processed through this website is SoFloWare LLC, a Wyoming limited liability company, 30 N Gould St Ste R, Sheridan, WY 82801, USA ("SoFloWare", "we").

What this notice covers
This notice covers the public website at eklinika.sofloware.com. It does not cover the eKlinika application that clinics use. Inside the application, each clinic is the controller of its patient data, and SoFloWare processes that data on the clinic's behalf under a separate agreement with the clinic.
The demo request form
When you send the demo request form, we receive the details you enter:
- your name and email address;
- the name of your clinic;
- optionally, your country, main specialty, number of practitioners and a message;
- the language version of the website you used.
The form is delivered to us as an email. We use these details only to answer your request, arrange a demo and continue the conversation you started. We do not add you to a mailing list and do not send marketing email.
The legal basis is your request and our legitimate interest in answering it (GDPR Article 6(1)(b) and 6(1)(f)).
Server logs
Like any web server, the server that hosts this website records technical data for each request: IP address, date and time, the page requested, the response status, the referring page and the browser's user agent.
These logs are used to keep the site running and secure, and to investigate abuse. They are kept by the hosting provider for a limited period under its own retention policy and are not used to build profiles. The legal basis is our legitimate interest in operating a secure website (GDPR Article 6(1)(f)).
Analytics
This website does not use analytics by default.
If we switch on Google Analytics in the future, this notice will be updated first to describe what is collected, by whom and on what legal basis, and the analytics script will only load after that update.
Fonts
The website loads its fonts from Bunny Fonts (fonts.bunny.net). Your browser connects to that service to download the font files, which means it sees your IP address. Bunny Fonts states that it sets no cookies and does not track visitors. No other third-party resources are loaded.
How long we keep data
We keep personal data only as long as we need it:
- Demo requests: as long as we need them to answer your request and any conversation that follows, then deleted.
- Server logs: for the period set by the hosting provider's retention policy.
If you become a customer, the details you gave us become part of the customer relationship and are kept under the terms of that agreement.
International transfers
SoFloWare is based in the United States. When you send the form from outside the US, your details are transferred to us so that we can answer your request (GDPR Article 49(1)(b)).
Security
The website is served only over HTTPS and sends security headers, including a Content Security Policy that blocks scripts from other sites. Access to demo request emails is limited to the SoFloWare team.
Your rights
Under the GDPR and similar laws you have the right to:
- access the personal data we hold about you (Article 15);
- have inaccurate data corrected (Article 16);
- have your data erased (Article 17);
- restrict processing in certain cases (Article 18);
- receive your data in a portable format (Article 20);
- object to processing based on legitimate interests (Article 21);
- lodge a complaint with the data protection authority in your country.
To use these rights, email info@sofloware.com. We reply within one month.
Children
This website is meant for clinics and their staff. It is not directed at children, and we do not knowingly collect data from them.
Changes to this notice
We may update this notice. The version and date at the top always show the current revision. Material changes, such as switching on analytics, are made in this notice before they take effect.
